About SOP Manager
What is SOP Manager?
SOP Manager is online software for UK community pharmacies to write, personalise, approve and share standard operating procedures, record that staff have read and understood them, and keep the evidence needed for GPhC inspections and CPAF reviews.
Who is it for?
Independent community pharmacies and pharmacy groups in England. Superintendents, owners and pharmacy managers run it, and every member of staff and locum uses it to read and sign SOPs.
Which SOPs are included?
65 SOPs across governance and the Responsible Pharmacist, staff and safeguarding, medicines management, dispensing, controlled drugs, counter and self-care, clinical services, and premises and equipment.
Are the SOPs ready to use straight away?
They are a complete, professionally structured starting point. Your setup answers fill in local details automatically, then your superintendent or responsible pharmacist reviews, edits where needed and approves each SOP before staff sign it. Responsibility for your SOPs always stays with your pharmacy.
Can I edit the SOPs or add my own?
Yes. Every SOP can be edited, and you can create new ones. Each change is version-controlled with a change note, and staff are asked to re-sign new versions.
Does SOP Manager help with the GPhC inspection?
Yes. It maps your SOPs to the GPhC standards for registered pharmacies, shows any gaps, and produces an inspection pack with your SOP index, versions and staff sign-off records.
What is CPAF and how does SOP Manager help?
The Community Pharmacy Assurance Framework is how NHS England checks contractors meet their terms of service. SOP Manager includes a CPAF readiness checklist per branch so you can record your evidence as you go.
Accounts & access
Do locums need their own login?
Yes. Each locum gets their own access, limited to the branches you choose and set to expire on the date you pick, so their signatures are properly recorded and access ends automatically.
Does it work on phones and tablets?
Yes. SOP Manager runs in any modern web browser on phones, tablets and PCs. There is nothing to install.
How secure is my data?
Connections are encrypted, passwords are stored as one-way hashes, accounts lock after repeated failed sign-ins, two-step verification is available to everyone, and each pharmacy organisation can only ever see its own data. Every change is recorded in an audit trail.
Can I manage several pharmacies?
Yes. The Small Group and Group plans cover up to 3 and 8 pharmacies, with branch-specific setup answers, staff and sign-off tracking. For larger groups, contact us about Enterprise.
Billing
How long is the free trial?
14 days, with every feature included. Nothing is collected until the trial ends.
How do I pay?
By Direct Debit through GoCardless, or by PayPal (which also accepts debit and credit cards).
How do I cancel?
Email support@alephlogic.uk from your account email address. Monthly plans stop at the end of the current month. You can also cancel your Direct Debit with your bank or your subscription in PayPal at any time.
What happens to my data if I cancel?
Your account is paused rather than deleted, so you can restart later. If you’d like your data deleted or exported, just ask.
